Pre-Convention Counseling
It does not matter if you are a first time meeting planner or a veteran, the staff at the BRACVB is available and ready to assist you with any questions you may have. We even assist with itinerary planning and off site functions! (See Themed Meetings)


Proposal Solicitation Assistance
The site selection process is easier with Baton Rouge because we do the work for you! Our sales team will distribute your meeting specifics, check hotel availability, arrange for site inspections and request proposals that allow for competitive bidding. Our convention services manager will solicit proposals from various transportation providers, arrange site inspections of attractions and restaurants to help plan out day and evening activities.


Formal Bid Invitation
We will assist in issuing an official invitation to Baton Rouge from area dignitaries to your association. A staff member can also prepare and deliver a presentation about why your next meeting should be in Baton Rouge.


Housing Assistance
Our convention staff can help you with organizing housing. Fees are applied to this service and are dependent on an agreed contract.


Name Badges/ On-Site Registration
The BRACVB will provide name badges for your meeting attendees. Hostesses can also be requested to assist with the on-site registration process. Typewriters will be available to create any last minute name badges. We offer two types of name badges: pin-on and clip-on for a small nominal fee.


Local Publicity Assistance
Choose Baton Rouge as your site and we will assist you in creating and sending a news release to local media to build awareness and attention for your meeting.


Attendance Building
Let us help you reach maximum attendance and participation from your membership! We can mail or email postcards to your members and increase excitement for your meeting in Baton Rouge.


Welcome Bags
Baton Rouge plastic bags are complimentary for all convention delegates.


Area Brochures
We will gladly provide your attendees with a visitor guide, flat map, plantation map and/or African American guide.


Infeaux on the Geaux
Our very own mobile visitor information center! Infeaux on the Geaux is available to provide your attendees with information on sites to see, places to eat and fun things to do.


Local Appearances
Assistance from our staff is available when trying to arrange for local dignitaries to welcome your attendees.

 
TRAVEL TRADE

Assistance with hotel bids
You want the best value for your customers and clients, and we can alert our hotels as to exactly what you are looking for - price range, amenities, location and more - and help you find what you need.


Departure services for motorcoach groups
The morning your group tour leaves our city, we'll be on hand to bid you farewell, and invite your return. A member of our staff will have a small, free souvenir for passengers and escorts. We've "departed" as many as five coaches staying at one hotel! Be sure to tell your hotel you want our Departure Service!


Itinerary planning assistance
Let us be your eyes and ears on the ground in Baton Rouge and throughout South Central Louisiana and Plantation Country. We know how long it takes to get from your hotel to attractions, museums; to lunch and dinner. Let our staff help you find a route with no backtracking, which surface streets work better than interstates, and the best times to avoid traffic. We'll also put you in touch with local step on services and tour planners with many years' experience in this region.

Our history is no longer a mystery when you rely on the Visit Baton Rouge team to help you with those colorful stories and anecdotes that make a great vacation truly memorable.


Electronic images, slide show and video
The Baton Rouge Area Convention & Visitors Bureau has a good collection of high-resolution electronic images available for your use in promoting your group's visit to out part of Louisiana. Electronic slide presentations and video are also available.


Literature to help promote your tour
We've also got plantation maps and other consumer literature available - ideal for distribution to group leaders and your frequent travelers.


Product development assistance
Have a new and different idea for tour and want to see how we might fit? Need to brainstorm about Baton Rouge, the surrounding area - need to get in touch with specific suppliers to fill specific needs? Call us - email us. That's a big part of what we do!
